You’ll be joining a fully remote team of ~10, who care about each other and are invested in each of us living great lives.

Your mission
Reporting to our Operations Manager, your charge will be to ensure the business runs smoothly and that our team is aligned. More specifically, you’ll be responsible for HR, compliance, onboarding new team members, creating and documenting processes and protocols, and helping coordinate different teams.

Admin tasks, such as monitoring incoming mail, improving and maintaining our Notion and Employee Handbook
Payroll and vendor payments
Helping organize events, meetings, and team retreats
Helping run hiring and onboarding/offboarding processes
Operational support for other departments such as Marketing, Customer Support and Partnerships
Drafting, executing, and managing contracts
Lending a hand as needed to help with execution in other functions where we have gaps e.g. Partnerships, Marketing, Compliance, Legal, Tax & Finance

To be successful in this role, you will need the following qualities:

Collaborative — you always do your best but aren’t a perfectionist, i.e. you can happily share your work early and often to get feedback
Extremely organized, able to manage a wide array of projects simultaneously and prioritize them effectively and collaboratively
Highly reliable, confident in your ability to not let things slip through the cracks, even when you’re juggling many things at once
Able to effectively communicate about your workload and projects to your manager and others on the team as needed

Experience
Ideal candidates are Focusmate community members and experienced users of the platform. Any previous experience that helps showcase your organizational and communication skills will be a plus.

What you’ll do in your first few months
Take over admin functions (HR, legal, finance, compliance), i.e. monitoring all incoming mail, helping onboard/offboard team members, drafting and reviewing contracts, setting up payments, and so on
Help plan and execute the company retreat
Help maintain, improve, and expand our Employee Handbook and Notion Team Spaces
Be responsible for a tax-related project, which will include researching and registering the business in different states/countries to ensure compliance with tax laws and regulations
Document our recurring payments and subscriptions, and possibly renegotiate some contracts
Document and audit our emails, and make changes that are aligned with our current growth initiatives
As you’re working, document any process that you’re working on, as well as finding opportunities to improve existing processes
Support the Operations Manager and CEO in presentations and meetings, by helping prepare slides and research
Be involved in Marketing and Support initiatives and help with creating and documenting improved processes in those departments
Hours and timing
We’d like you to join us as soon as possible.
We’ll expect you to work similar hours each week, for a total of ~20 hours per week.
Please note for this role your working hours must overlap with 9:00-17:00 UTC+2 at least for the first 6 months.
Ideal candidates will have the interest and capacity to consider becoming full-time in the future.
Compensation & benefits
The compensation will vary depending on your experience and availability, but you can expect to earn between $1,000-$1,200 per month to start.
In addition, after a successful 3-month trial period, you’ll get a meaningful amount of equity in a quickly growing startup. Focusmate’s success will be your success.
You’ll get unlimited vacation time, which you’ll be encouraged to use and enjoy.
And, we’re all remote, so you can work wherever you want!
